Use of artificial intelligence tools
This statement provides additional information about how the department may use approved artificial intelligence (AI) tools to process information after it is collected. The collection notice provided with each form, application, service or interaction remains the primary notice for that specific collection.
The department may use approved AI tools to process information provided through forms, correspondence, applications, submissions, enquiries, service requests or other interactions with the department. This supports the delivery of authorised departmental functions and activities. AI tools may also be used to generate documents that include personal information.
The department collects, uses and manages information only for authorised departmental purposes. AI use will depend on the purpose of collection, the nature of the information, applicable law and whether the proposed use has been assessed and approved. The department will not disclose or use information outside its lawful responsibilities.
How AI may be used
AI may be used, where approved and assessed as appropriate, to support authorised departmental functions and activities. This includes current and future uses that assist the department to improve service delivery, manage information, support analysis and decision-making, and improve administrative efficiency. AI use may include:
- supporting workplace productivity, administrative tasks, drafting, summarising and operational efficiency;
- capturing, extracting, classifying, transferring or validating information submitted through forms, correspondence or other departmental processes;
- assisting with research, analysis, summarisation or review of information, including submissions, applications, consultation feedback, records and other business information; and
- supporting triage, preliminary assessment, prioritisation or quality assurance activities, including for grants, programs, enquiries, service requests and regulatory or administrative processes, with outcomes subject to appropriate officer review and approval.
How AI will not be used
AI tools will not be used as the only basis for decisions that affect individuals or organisations. AI outputs must not be treated as final or authoritative unless an authorised officer has reviewed and validated the output and considered the relevant context.
AI will not be used in a way that removes accountability from authorised officers, prevents a person from understanding or challenging an outcome, or bypasses privacy, security, records management or procurement requirements. AI will also not be used where risks such as unfairness, bias, unreliable outputs or lack of explainability cannot be appropriately assessed and managed.
Governance and privacy safeguards
- The department has a governance process to assess, approve and monitor AI use. This supports alignment with the department’s AI policy, the National Framework for the Assurance of AI in Government and the QGEA artificial intelligence governance policy.
